Gravel Explorer tours – after you book

We are thrilled you are joining us on this ExperiencePlus! Gravel Explorer tour!

Cycle on a mixture of surfaces to experience natural beauty and local secrets unconfined by the limitations of paved roads. If you are a traveler who embraces adventure, loves a clean room, warm shower, and a delicious meal – but aren’t too concerned about 4-star hotels, Gravel Explorer tours are for you.

Below you’ll find answers to the most common questions travelers ask us after booking. 

Questions about your booking and payment

Take a look at your Invoice that we emailed to you with your booking confirmation email.

Your final payment is due 90 days prior to your departure. Refer to your invoice for the accurate due date. If you’ve paid your balance early or in full, you’re all set.

We’ll send you an e-mail reminder prior to the payment due date with all you need to know.

Things to do right after booking

The tour price does not include travel insurance. Travel Protection Policies offered by most major travel insurance providers include benefits such as Trip Cancellation, Trip Interruption, Emergency Medical and Emergency Evacuation/Repatriation, Trip Delay, Baggage Delay and more. See which provider we recommend. You can also obtain a quote before deciding.

ExperiencePlus! adheres to its Terms and Conditions and will make no exceptions. For a percentage of the cost of your tour, your purchase of trip insurance gives you peace of mind and protects you from financial loss if you are unable to travel.

When to get travel insurance

In order to get the most out of the coverage available we recommend that you check whether your policy offers additional benefits if you purchase it within a certain time sensitive period. Go ahead and purchase insurance even if your departure is not yet guaranteed to run (Under normal circumstances, if we cancel the departure you will receive a full refund from the insurance company. Be sure to read the policy closely, and ask the insurance questions so you know what’s covered.)

Your Invoice that we emailed to you with your booking confirmation provides you with the necessary payment date and balance information.

Please fill out your Customer Information Form (CIF). This also covers the Liability Waiver and Traveler Code. Remember we need one form per traveler and per departure, even if you have traveled with us before. Best to do this right after receiving your booking confirmation e-mail!

We know it’s important that you feel prepared for your trip and amongst packing, researching your destination and getting excited, getting or staying in shape is part of the plan. Bike and equipment change requests must be received a minimum of 90 days prior to your tour departure date.

Preparing for your trip

  • Navigation is by GPS. There will be no arrows.
  • About 50 percent of the road surface is dirt path and gravel/dirt roads, sometimes with rough terrain.
  • To accommodate this varied road surface, bicycles will feature 36-40 mm width tires that provide excellent off-road traction.
  • Our Explorer Gravel tours feature a range of accommodations, with a preference for 2- and 3-star category hotels where available. However, hotel categories vary by location. Please refer to your tour packet or itinerary for hotels used on your specific departure. 
  • We share fewer dinners together (except first and last, of course!)
  • Gravel Explorer Tour pricing does not include guided cultural group experiences. Tour Leaders will be available to let you know about cultural experiences and sites nearby to visit on your own.

Refer to the tour packet/itinerary of your booked trip with step-by-step arrival and departure instructions, the meeting time, your tour hotels, daily descriptions, a pre-travel planning checklist, and much more. We included the link in the booking confirmation email. Hang on to the link to refer back to it. Ask us if you can’t find it anymore!

Departure documents

About two weeks before your tour, we’ll email you an access code to your tour’s RideWithGPS Experience. This app-based program is free to use and houses all your relevant on-tour information. This will include cultural information and details on daily rides, your hotel itinerary, emergency numbers, the participant roster with your fellow travelers’ names and your Tour Leader contacts.

Using the App and the Experience feature is entirely free. No data plan is needed to access the downloaded Experience on your phone while traveling.

Riders will be provided with a GPS (Garmin Edge, Edge 1000 or similar model) with the tracks preloaded. We will also provide GPS-tracks if you would like download them to your own device. Choose between navigating with the GPS, riding with your tour leader or a combination of the two!
